Patriot Defense Group is looking for an Administration Assistant in our Headquarters office located in .

The Administrative Assistant performs a wide range of administrative and office support activities for government, military and contractor personnel and management, facilitating the efficient operation of the Patriot Defense Groups management team. The Administrative Assistant is the central point of contact (POC) located in Maitland, HQS office. The successful candidate will be joining a team of incredibly talented professionals who work in an environment that offers an entrepreneurial atmosphere that allows them the autonomy to execute complex tasks received from our clients.

Primary Responsibilities

Provides general administrative support. Answer phones, filing, orders office supplies and maintains appropriate supply stock. Submits Service Order Requests for the building.

Assists (remote/non remote) program managers on building training schedules, updating contract personnel files and prepares final proposal packages for delivery

Supports the project staff by scheduling/coordinating meetings, conference rooms, training facilities, conference calls, VTC capabilities. Web based meeting platform experience.

Facilitates in and out processing of all personnel.

Reviews grammar, punctuation, and formatting for official government correspondence and routes accordingly.

Coordinates with the Business Operations Associate regarding CONUS/OCONUS travel/training and expense reimbursements for civilian, military, and contractor personnel.

Responsible for requesting new computer accounts, deleting old accounts, and modifying current accounts for PMO personnel.

Secondary Responsibilities

Documents meeting minutes and action items at meetings.

May participate in various working groups and integrated project teams as the Administrative POC.

Provides Web-site update coordination with senior leadership

Maintains a safe workplace, ensures awareness of and observes safety and occupational health rules and regulations.

Performs light duties and other related duties as required and assigned.

Additional responsibilities include: Works closely with the operations manager, Program Manager and FSO to assist and bids/proposals submissions and filing.

Basic Qualifications

Must have a High school diploma and at least 4 years’ experience. Ability to communicate clearly in writing and demonstrate strong interpersonal and customer service skills. Must take initiative, work independently, and perform multiple tasks with minimal direction and strong attention to detail. Must be proficient in Microsoft Office Suite programs including Word, Excel, Adobe, Outlook, Project, PowerPoint, and various web-based meeting services.

Preferred Qualifications

Experience with the United States Military or government is preferable. Secondary education in a relevant field is desirable.
